What to Do When Your Restaurant Suddenly Loses Internet: Number Orders Manually and Reconcile Preparation and Payments After Service Returns
When the connection drops, stop resubmitting orders with uncertain outcomes and avoid charging customers again. Have one person coordinate front-of-house, kitchen and cashier updates, keeping separate records of existing orders, new requests, items prepared and payments received. Give paper tickets a consistent manual number. Once the server connection returns, check the latest system status first, then reconcile what was delivered and paid, and add only missing records. Hand off any outstanding items individually to the next shift.
If your restaurant suddenly loses internet, stop resubmitting orders or charging customers again. Have the shift lead appoint one person to gather updates from front-of-house, the kitchen and the cashier. First check which orders had already come in and which dishes had already been prepared before the outage. Then record new requests under consistent manual numbers. Once the connection returns, check the latest status in the system first; do not enter every paper ticket again.
First, clarify which operations require a connection
MenuSnap does not currently provide a complete offline ordering and checkout workflow. Payments, refunds, settlements and shift operations require server confirmation. QR-code ordering by customers, the cloud back office, cloud KDS updates and online payments depend on the relevant network connection. A local printer connection does not mean the entire operation can run offline, and seeing an old page or receipt does not mean the latest status has been updated.
Standalone card terminals follow their own connectivity and payment-provider requirements. First check the transaction outcome on the terminal or with the provider. Keep the necessary evidence for transactions confirmed as successful. After MenuSnap reconnects to the server and you have checked the existing records, record the payment against the bill. If the outcome is unclear, do not charge again.
Use one numbered intake point, with separate records for new requests and items to check
Assign one person to number all manual records consistently. A paper ticket is a temporary service reference; it does not mean the sale has been received by the system. If a submission for the same table has an uncertain outcome, check with front-of-house and the kitchen first. Do not treat the entire table's order as a new ticket for preparation.
- Manual number: ____; table or pickup identifier: ____; time and restaurant time zone: ____; staff member handling it: ____.
- Related original order or submission to check: ____; details known before the outage: ____.
- Items, options and quantities genuinely added this time: ____; requests still to verify: ____.
- Sent to the kitchen: ____; recipient and time: ____; started/completed: ____; handed to the customer: ____.
- Cash received and change given: ____; standalone terminal confirmed/to check: ____; location of necessary evidence: ____.
- Next action: ____; person currently responsible: ____; staff member taking over at shift change: ____.
What front-of-house, the kitchen and the cashier should hand over
- Front-of-house: Ask whether the customer submitted an order and whether they have an order number. Check existing records and tell the customer who will follow up. If there is no confirmed result, log it for checking; do not have several people enter the order again separately.
- Kitchen: Check items in progress, prepared items and items not yet received against the original order and manual number. Accept only new items confirmed as not already received, and pass confirmation back to front-of-house.
- Cashier: Keep separate evidence of cash received, change given and the outcome of external terminal transactions. Selecting a payment method does not mean payment succeeded. Do not copy full card numbers or PINs.
- Person following up on equipment: Distinguish between an issue with one device, the restaurant network and a related service, and contact the relevant support team. Preserve app data; do not have every staff member take turns restarting devices or changing pairings on the fly.
Link add-ons and cancellations to the original number, and send only the changes. Before cancelling, check the preparation status, then explain the situation to the customer. Staff responsible at the restaurant must still confirm items with dietary requirements; an emergency is no reason to skip checks on ingredients or preparation conditions. The owner or an administrator they have explicitly authorized should handle backup-network and equipment changes according to existing arrangements, without interrupting deliveries already in progress.
After service returns, reconcile each order using these scenarios
- The original order is already in the system: Compare it with the manual record and what was actually prepared, and confirm whether it has been delivered. Do not enter the same items again.
- There is a new request recorded manually but no matching system entry: Confirm preparation and payment received first, then follow the currently supported process for adding a record. If it is unclear how to do this, contact support to avoid sending the items to the kitchen again.
- The external terminal payment succeeded, but the system shows no matching payment: Once the connection is back, check the latest records and enter the correct amount against the original bill. Do not charge the customer again.
- The quantities or amounts do not match: Keep a record of the discrepancy and supporting evidence, and have the designated person investigate. Do not create records to make the figures appear to match.
Have one person handle follow-up entries and another verify the amounts and which records they belong to, while the rest of the team continues serving customers. Wait for server confirmation before handling refunds, settlements and shift-related tasks through the relevant processes. Still verify whether missing printouts have been produced and whether tasks have arrived; do not assume that reconnecting automatically completes everything that was pending.
Hand over items still to be checked—not just the news that the internet is back
Use the manual numbers to hand over exactly which order, item or payment still needs to be checked, what has already been explained to the customer, and who to contact next. The incoming staff member should locate the original evidence, repeat back the next action and then continue service. Keep only necessary information in your records. When sharing screenshots with support, obscure personal details and payment credentials.
At closing, identify the hardest item to reconcile: a missing number, no response from the kitchen, an item delivered but not recorded, or a payment with no supporting evidence. The next shift should gather the relevant material and assign responsibility. Restored internet is only a technical status. File temporary records according to the restaurant's procedures only after each order has been matched to its preparation, delivery and payment received.
